Summary

The Communications Coordinator, under general supervision of the Director of Communications, is a support role, key to the teams success. The position will assist the team in generating and tracking local, national and international publicity for Scottsdale and the organizations membership; write a variety of press releases and pitches adhering to AP style; coordinate press itineraries and participate in media press trips; oversee the teams media assets and serve as a point person for media; provide critical organization and administrative support; and execute day-to-day media relations, newsletters and other communications programs.

The Communications Coordinator works with the Communications Assistant, Communications Manager, Director of Communications, and Vice President of Communications.

 

Essential Responsibilities

  • Writing: Routinely draft press releases and media pitches for distribution. Proofread and edit all outgoing press material for grammar and accuracy. Write a monthly media newsletter and manage the production process. Maintain and update pressroom content. Communicate directly with Experience Scottsdale members to request and obtain information needed to write press material. Self-start on routine writing assignments.
  • Media Relations: Write pitches as a response to media queries and identify proactive pitching opportunities. Write recommendation and information emails for journalists, fact check and provide digital assets. Respond to photo and b-roll requests. Manage press release distribution. When asked, perform article fact checks with precision.
  • Research & Reporting: Identify key media in target markets for proactive outreach and create and update media lists. Track and send media coverage in a timely manner to stakeholders. Generate reports tracking performance of monthly newsletters.
  • Group & Individual Press Trips: Assist with the coordination of media itineraries as directed, including drafting and disseminating media leads, securing itinerary components and communicating with media directly. Meet with media during press trips, which sometimes includes evenings and weekends. Prepare and deliver materials for incoming media. Conduct press trip follow-up with media and partners including monitoring and tracking media coverage, providing digital assets and other follow-up communications.
  • Media Missions & Trade Shows: Prepare up-to-date press materials and develop visual presentations and other event elements for media missions and trade shows. As needed, assist with follow-up communications. Assist in coordinating media events in target markets by researching media to invite and venues and collecting member information. May include some minimal travel for media missions and trade shows.
  • Social Media Support: Vet, provide feedback, and approve/deny incoming influencer and blogger inquiries. Utilize tools to assess engagement rate, audience demographics and other key metrics. Provide recaps of social coverage from individual and group influencer press trips.
  • Administrative Support: Maintain member information for the teams use, keeping files well organized. Assist the team by entering database notes on media interactions. Assist the team in preparing materials for press trips and events.

  • Proficiency with the Microsoft Office suite
  • The ability to effectively use social media

Preferred:

  • Experience working with Apple/Mac equipment and applications
  • Experience working with Meltwater or other media databases such as Cision, MuckRack, etc.
  • Experience working with Burrelles or similar media clipping services
  • Experience working with ActOn, Constant Contact or other similar platforms
  • Experience working with Asana, Basecamp, Slack or another workflow platform

 

Education & Experience

Bachelors degree required in a related field such as journalism, public relations, marketing or communications. Minimum of one year of part-time or full-time job experience in communications or public relations, not including internships.

 

Work Environment & Physical Demands

This job includes both work in an office setting and remote work. It also requires active participation in outside meetings and destination activities and potentially some travel. A vehicle/reliable transportation is needed. This role routinely uses standard office equipment and requires prolonged periods of sitting at a desk and working on a computer. If necessary and physically able, the job includes some outdoor physical activities such as hiking, horseback riding or kayaking. On occasion, someone in this role may be asked to lift items up to 50 lbs. for special events.

 

Position Type & Expected Hours of Work

This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m. However, frequent evening and weekend work is required as job duties demand. This position requires up to 5% travel.
