What Are Newsletters?

Newsletters are curated email publications you build inside Meltwater and send to a recipient list on a schedule you control. They pull content from your saved Explore searches — articles, social posts, broadcast mentions — and let you brand, arrange, and distribute that content without leaving the platform.

What you can do with Newsletters:

  • Create branded email newsletters powered by your saved Explore searches
  • Choose between fully manual curation or fully automated scheduling
  • Customise layout, fonts, colours, logo, and section structure
  • Add AI-generated overviews for each section or the entire newsletter
  • Send to recipient lists of up to 1,000 addresses per list
  • Access readership analytics via Meltwater's Sendgrid integration

Prerequisite: Before creating a newsletter, you must verify your email address and be approved as a sender. Navigate to Account > Approved Senders. You must also have at least one saved search in Explore to power newsletter content.

Key Concepts

  • Manual Newsletter A newsletter you create and send yourself. You choose which articles appear, when it goes out, and who receives it. There is no automation — every send is initiated manually. Best for high-control, editorial-style newsletters.

  • Automated Newsletter A newsletter that auto-generates and dispatches on a predefined schedule. You configure the searches, layout, and schedule once; Meltwater handles each subsequent send. You specify the day of week, time, time zone, and optional additional intervals.

  • Project The full package of settings for a newsletter: template design, layout, searches, recipient list, and delivery configuration. A project is what you create when you start a new newsletter.

  • Template The visual design and layout of your newsletter — the way it looks. This includes fonts, colours, header, sections, and branding elements. One template can be reused or duplicated across multiple projects.

  • Newsletter (Distribution) A single sent, scheduled, or drafted edition of a newsletter. Each time a project sends, it produces one newsletter distribution.

  • Approved Sender The verified email address from which your newsletters are sent. Meltwater delivers newsletters so they appear to come from your work email, but you must verify your domain first. Set up in Account > Approved Senders.

  • Content Guidelines Rules you set inside an Automated Newsletter that tell Meltwater how to generate each send — including the maximum number of articles per section, sort order (publish date or reach), how to handle duplicates and syndicated content, and what to display when a section has no content.

  • AI Overview An AI-generated summary that can be added at the newsletter level, at the section level, or both. Enabled via the AI Tools button in the top toolbar when editing a newsletter.

  • Recipient List A list of email addresses that receive a newsletter. You can select an existing list or create a new one during setup. Each list supports up to 1,000 email addresses.

Frequently Asked Questions

What is the difference between a Manual and an Automated Newsletter?

A Manual Newsletter requires you to select content and send each edition yourself — there is no automation. An Automated Newsletter auto-generates and sends on a recurring schedule you define. You can convert between types at any time without rebuilding your design.

What do I need before I can create a newsletter?

You need: (1) an approved sender set up under Account > Approved Senders, (2) at least one saved search in Explore to supply content, and (3) a logo file if you want to include branding (maximum 3 MB).

How many articles can each newsletter type include?

Manual newsletters support up to 100 articles per section with a 200-article total maximum. Automated newsletters support up to 500 articles in total.

How often can an Automated Newsletter send?

At minimum once per week; at maximum twice per day.

Can I receive readership analytics for my newsletter?

Yes. Newsletters are delivered through Sendgrid. You must set up an Approved Sender and ensure your newsletter's 'From' field is configured correctly to access readership analytics.

How many email addresses can a recipient list hold?

Up to 1,000 email addresses per recipient list.

Can I convert a Manual Newsletter to Automated (or vice versa)?

Yes. From the View All screen, click the kebab menu on the newsletter, select Convert, then choose Convert to automated or Convert to manual. Your design is fully preserved.

Can I reuse a newsletter design for a different newsletter?

Yes. From the View All screen, hover over any template and select Duplicate. A copy is created that you can configure independently.

What happens to my Classic Newsletters?

Classic Newsletters are still available but will retire. You can toggle back to the Classic experience in the meantime. Meltwater recommends transitioning to the new Newsletter experience.

Where have Newsfeeds moved?

Newsfeeds have moved to the Content section of Meltwater.

What does 'Save Draft' do?

Clicking Save Draft saves your work in progress and lets you exit the newsletter editor without losing any changes. You can return and continue editing at any time.
